1. Who we are
Synthly ("we", "us", "our") is an Australian business that builds websites and operates an AI receptionist platform for service businesses.
2. What we collect
We collect the following categories of personal information:
- Business customer data — contact name, email, phone, ABN, business address.
- Call recordings & transcripts — when we operate the AI receptionist on your behalf, we record calls (with caller notification per AU surveillance laws) and store transcripts for service quality.
- Lead data — caller name, phone number, address, and the substance of their enquiry, captured during the AI receptionist interaction and shared with you as the service business.
- Technical data — IP address, browser type, pages viewed (collected via privacy-friendly analytics, no cookies).
3. How we use it
- To operate the AI receptionist, take bookings, and pass them to you.
- To provide ongoing service support and account management.
- To improve the AI models we use (with PII redacted prior to any training use).
- To meet our legal obligations under the Australian Privacy Act 1988.
4. Who we share it with
We share lead and call data with you, the business customer who engaged Synthly. We use the following sub-processors, all of which are bound by data processing agreements:
- Cloud hosting · Vercel (US/EU) and Cloudflare (AU edge).
- Voice + telephony · placeholder provider.
- AI inference · placeholder provider.
- Calendar & CRM integrations · only when explicitly enabled by you.
5. How long we keep it
- Call recordings: 90 days, then deleted.
- Call transcripts: 12 months, then anonymised.
- Lead contact details: until you delete them or close your account.
6. Your rights
Under the Australian Privacy Principles, you can request access to, correction of, or deletion of any personal information we hold about you. Email privacy@synthly.com.au and we'll respond within 30 days.
7. Complaints
If you have a complaint about how we've handled your data, contact us first. If you're not satisfied, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
8. Changes to this policy
We'll notify business customers of any material changes by email at least 30 days before they take effect. Minor clarifications get posted here without separate notice.
